Responsibilities:
- Oversee payroll processing for all salaried, hourly, and contract staff, ensuring accurate and timely processing.
- Supervise the Payroll Specialist to ensure compliance with federal, state, and local payroll regulations, including tax filings, garnishments, and wage deductions.
- Manage payroll accounting, including the preparation and reconciliation of payroll-related journal entries.
- Prepare, record, and reconcile payroll-related accruals, such as 401K profit sharing, bonuses, vacation, and other payroll accounts.
- Act as the primary contact for all Paycom-related issues and troubleshooting.
- Collaborate with HR to onboard new practices, ensuring payroll and benefits systems are aligned with contracts and tax requirements.
- Coordinate with third-party providers to resolve payroll tax notices and review payroll tax returns.
- Implement and manage Paycom payroll software, including setup, configuration, and staff training.
- Lead the month-end close process, including journal entry preparation, reconciliations, and financial statement review (balance sheets, income statements, and cash flow).
- Analyze and reconcile all general ledger accounts, ensuring transactions are well-documented and in line with GAAP.
- Prepare non-routine journal entries for acquisitions, revenue cycle transactions, and other special projects.
- Assist in preparing the annual budget and periodic forecasting reports.
- Conduct variance analysis for budgeted vs. actual financial performance, providing detailed commentary for management review.
- Generate and distribute KPIs and financial statements, with deep analysis by practice, department, location, provider, etc..
- Facilitate Balance Sheet review at least once a quarter.
- Serve as an administrator to create needed banking infrastructure and grant necessary access to users.
- Assist in managing cash flows including the funding of payroll and other large expenditures.
- Supervise and mentor a team of seven, including both payroll and accounting staff, ensuring all functions are completed accurately and on time.
- Provide continuous feedback, coaching, and training to develop team members’ skills.
- Ensure that both payroll and accounting departments maintain a high standard of operational efficiency and accuracy.
- Evaluate and streamline payroll and accounting processes, leveraging technology to enhance efficiency and reporting accuracy.
- Lead automation projects, including enhancing the treasury structure for daily cash reconciliation.
- Integrate the treasury platform with Microsoft Business Central ERP to automate cash activity tracking.
- Ensure compliance with federal, state, and local laws related to payroll, accounting, and reporting.
- Maintain strong internal controls over payroll and accounting processes, preparing for and managing internal and external audits.
- Ensure all payroll and accounting procedures are up to date with regulatory requirements.
- Main point of contact for the annual audits (Financial Statement, Benefit Plan, Worker’s Comp.).
Qualifications:
- Education: Bachelor’s degree in Accounting, Finance, or a related field.
- Experience: 5-7 years of experience in payroll and general accounting management. At least one year of direct multi-state payroll accounting experience.
- Strong knowledge of GAAP, payroll regulations, and multi-state payroll processes.
- Advanced proficiency with data management Microsoft Excel (e.g., VLOOKUPs, pivot tables).
- Strong analytical skills, with attention to detail and the ability to prioritize and manage multiple responsibilities.
- Preferred Qualifications:
- Certification: Certified Payroll Professional (CPP) or Certified Public Accountant (CPA).
- Experience in the healthcare sector is a plus but not required.
- Experience with integrating treasury management platforms and optimizing revenue cycle processes is desirable.
- Experience with Paycom or similar payroll/HR systems is essential, including system implementation.
- Proficiency with ERP accounting software Microsoft Business Central.
