Summary
- The main function of an Executive Administrative Assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
- Prepare invoices, reports, memos, letters, financial statements, and other documents
- File and retrieve corporate documents, records, and reports
- Open, sort and distribute incoming correspondence, including faxes and emails
- Prepare responses to correspondence containing routing inquiries
- Purpose of the Team - The teams is a sales organization in the US supporting financial services with customers, with banking, insurance and capital marketing. There’s numbers of admins already on the team but looking to supplement the team a little more to provide support for some additional GM’s.
- Key Projects - Travel booking, conducting expenses and calendaring
- Typical Task Breakdown and Operating Rhythm - 25% meetings / 25% Teams / 50% calendar managing, travel booking, and PowerPoint
Skills:
- Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills
- Ability to work independently and manage one’s time
- Ability to keep information organized and confidential
- Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint
- High school diploma or GED required
- 2-4 years’ experience required
Candidate Requirements:
- Years of Experience Required: 4+ overall years of experience in the field
- Degrees or Certifications Required: Business BA (preferred/ not require)
- Disqualifiers: Candidates with poorly formatted resumes with typos and grammatical errors, job hopping
- Best vs. Average: Being able to manage more than 2 individuals, besides working as a team being able to still handle work independently, multitasking, and past experience working in a large company (preferably)
- Performance Indicators: Performance will be assessed based on meeting deadlines, quality of work, engaging, and quick responses
- Minimum 5+ years’ experience with Outlook/ Calendaring
- Minimum 2+ years’ experience with Teams/ PowerPoint/Excel
- Minimum 5+ years’ experience with travel booking
