Our client is seeking a highly organized and proactive Administrative Assistant to support an Executive and two senior leaders. The ideal candidate is a self-starter with exceptional organizational skills, strong attention to detail, and the ability to handle multiple priorities in a fast-paced, professional setting. Key Responsibilities:
- Provide high-level administrative support to one primary executive and two senior leaders, including managing schedules, coordinating meetings, and preparing briefing materials.
- Schedule and coordinate meetings, appointments, and travel arrangements, ensuring all calendar commitments are prioritized and conflicts are resolved efficiently.
- Organize and manage domestic and international travel, including flight bookings, accommodations, ground transportation, and travel itineraries.
- Prepare agendas, documents, and other materials for meetings, take notes, and follow up on action items as needed.
- Act as a point of contact for internal and external communications, handling inquiries, routing calls, and managing correspondence on behalf of executives.
- Process expense reports accurately and in a timely manner, adhering to company policies and budget guidelines.
- Assist in planning and coordinating events, such as investor meetings, team offsites, and industry conferences.
- Support executives with ad hoc projects as required, conducting research and providing analysis to assist with decision-making.
- Maintain organized records, update databases, and ensure information is easily accessible and secure.
Qualifications:
- Bachelor’s degree or equivalent work experience in a similar role.
- Minimum of 3 years of experience in administrative support, preferably within a venture capital, private equity, finance, or fast-paced, high-growth environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity software.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- High degree of professionalism, discretion, and integrity.
- Strong attention to detail and proactive problem-solving abilities.
- Ability to work independently and collaboratively within a team.
