Role Overview: The Senior Event Specialist will take an assistant lead role in planning, managing, and executing meetings, conferences, and events, and tradeshows. With event attendance ranging, this role requires an experienced professional adept at delivering high-impact events from concept to post-event analysis. This role also involves strategic oversight of event operations, vendor management, budgeting, and the continuous improvement of event processes. The Senior Event Specialist will collaborate closely with internal departments and external partners to ensure seamless, top-tier event execution. This role will report to an Event Manager.

This role can be performed from any office in the US. The pay range for this position is $63,000 - $78,000/yr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position is eligible for an annual restricted stock unit grant based on individual performance in addition to a full range of benefits outlined here. This information is provided per the relevant state and local pay transparency laws for the location in which this position will be performed. Base pay information is based on market location. Key Responsibilities
- Event Planning & Strategy:
- Assist with the end-to-end planning, coordination, and execution of major events, conferences, and tradeshows, webinars, etc. as assigned.
- Work collaboratively with Paylocity’s leadership team to ensure event objectives align with organizational goals and strategy.
- Play a pivotal role in designing creative event experiences that drive engagement and value for attendees.
- Manage BEOs, including food selections, room setups, audiovisual requirements, and event schedules in collaboration with venues.
- Collaborate with the marketing department to create, review, and approve event signage.
- Manage the onsite placement of signage to ensure proper visibility and branding.
- Coordinate the fulfillment of sponsorship agreements, ensuring sponsor needs are met (if applicable).
- Ability to assist in the development and management of mobile applications for major events, ensuring smooth integration of digital tools to enhance attendee experience.
- Provide event-related support to internal departments, including marketing, advocacy, and the executive team.
- Organize pre-event site visits to ensure venue logistics align with event requirements.
- Provide event planning support for internal meetings, pop-up events, and other ad-hoc company functions.
- Registration & Attendee Management:
- Oversee the development and maintenance of event registration platforms and databases.
- Manage complex attendee inquiries and deliver high-level customer service throughout the registration process.
- On-site Event:
- Lead on-site event operations, including registration management, vendor coordination, and event logistics.
- Provide leadership to Specialists in troubleshooting and ensuring the smooth execution of events.
- Serve as one of the contacts for internal and external stakeholders during live events.
- Vendor & Supplier Management:
- Establish and manage relationships with key vendors, suppliers, and venue partners.
- Negotiate contracts and ensure all event-related needs, including AV, catering, and logistics, are met to high standards.
- Budgeting & Financial Oversight:
- Assist to oversee event budgets, ensuring costs are tracked, managed, and kept within allocated limits.
- Review and reconcile final event bills, addressing any discrepancies directly with vendors or venues.
- Post-Event Analysis & Reporting:
- Conduct comprehensive post-event evaluations, including the collection and analysis of attendee feedback.
- Develop detailed post-event reports and present key findings and recommendations to leadership.
- Travel Requirement:
- 20% - 30% Travel may be required, depending on assigned events.
- 4-6 years of experience in event planning or event management in a corporate or association environment.
- Proven track record of independently managing and executing high-level events.
- Strong leadership skills with the ability to manage multiple stakeholders and high-pressure situations.
- Experience collaborating with cross-functional teams, including sales, marketing, and communications.
- Excellent organizational, communication, written, negotiation, and multitasking skills.
- Superior customer service orientation with a proactive problem-solving approach.
- Experience managing event budgets and contracts.
- Bachelor’s degree in event management, hospitality, marketing, or a related field.
- Willingness and ability to travel frequently for events.
